Privacy Policy

How Writence collects, uses, shares, and protects personal data across our products and websites.

Last updated: 2026. This template describes our privacy practices in plain language.

1. Who we are

Writence (“Writence,” “we,” “us”) builds writing software, including the products Diglot and Copyeditor. This policy applies to our marketing sites and, in coordination with the product’s in-app policy, to the writing application. Where the two differ, the in-app policy governs use of the application.

2. Information we collect

We collect only what we need to provide and improve the service:

  • Account data — name, email, and authentication details when you create an account.
  • Content you create — documents, edits, and related metadata you choose to store with us.
  • Usage data — how you interact with features, for reliability and product improvement.
  • Device & log data — IP address, browser, and similar technical information.
  • Billing data — handled by our payment processors; we don’t store full card numbers.

3. How we use information

To operate the service, authenticate you, provide support, secure our systems, comply with law, and improve our products. We do not use your writing to train AI models, and we do not sell your personal data.

4. AI processing

Some features send text to AI models to generate suggestions. We minimize what we send and how long it’s retained. Where a task can run on-device, we prefer that. We don’t use your content to train models.

5. Authorship records

If you opt in, the editor records an append-only, cryptographically signed chain of edits to produce an Authorship Certificate. These records document the writing process and are retained so they remain verifiable. This feature is off until you enable it.

6. Cookies and similar technologies

We use necessary cookies to run the service and, with your consent where required, analytics to understand usage. You can manage non-essential cookies through our consent controls.

7. How we share information

We share data with service providers (subprocessors) who help us run the service, with your consent, to comply with law, or in connection with a corporate transaction. See our subprocessors list for categories and regions.

8. International transfers

Your data may be processed in countries other than your own. Where required, we use appropriate safeguards such as standard contractual clauses for cross-border transfers.

9. Data retention

We keep personal data only as long as needed for the purposes described here or as required by law, then delete or anonymize it. Append-only authorship records are retained for their verification purpose.

10. Your rights

Depending on your location, you may have rights to access, correct, delete, port, or restrict the processing of your data, and to object or withdraw consent. You can export and delete your data from your account, or contact us to exercise these rights.

11. Security

We use encryption in transit and at rest, access controls, and least-privilege practices. See our Trust & security overview for details.

12. Children’s privacy

Our products aren’t directed to children under the age required by local law, and we don’t knowingly collect their personal data.

13. Changes to this policy

We may update this policy. Material changes will be communicated through the service or by email, and the “last updated” date will change.
